Shape a brief for a modular test platform

Turn three teams’ test requirements into one bounded supplier brief for a reusable electromechanical platform.

This is an example brief. Its company, dates, budget, assignment and progress illustrate a project; they do not represent available or commissioned work. Proposals cannot be submitted.

The brief

The work and the intended result

Mechanical, electronics and software teams each have a different picture of our next test platform. The assignment covers three 90-minute stakeholder workshops, a requirements set of up to 45 entries and one supplier-neutral briefing pack. We need a clear first-release boundary and observable acceptance conditions for the important functions. Detailed system design, supplier negotiations and procurement are excluded. One consolidated stakeholder revision is included.

What you’ll deliver

  • Up to 45 prioritised requirements with source, rationale and acceptance method
  • A system-boundary diagram and interface list covering the three disciplines
  • A first-release scope, exclusions and concept-stage risk register
  • A supplier briefing pack and weighted proposal-comparison worksheet

Expertise needed

  • Experience facilitating multidisciplinary technical requirements
  • Strong technical writing and the ability to resolve conflicting stakeholder assumptions
  • Availability for three workshops timed for Melbourne working hours
  • Systems engineering
  • Requirements
  • Supplier evaluation
  • Project scoping

A running start

What’s already in place

  • Notes from the three engineering teams and six representative test scenarios
  • Early sketches, available bench space and indicative programme constraints
  • Named decision-makers for mechanical, electronics and software requirements

Project milestones

From brief to handover
  1. 01

    Map the stakeholder needs

Completed: ran the discovery workshops and recorded the boundaries and conflicting requirements.

  2. 02

    Agree the first-release requirements

Current: review priorities, measurable acceptance methods and interfaces with the three discipline leads.

  3. 03

    Issue the supplier brief

Check that every first-release requirement has an owner and acceptance method, then close one joint review.

Working together

A shared definition of done

Confirm the deliverables, review checks and response window together so everyone knows what a successful handover looks like.

Suggested acceptance criteria

  • Every agreed deliverable is included in the handover, in the agreed file formats.
  • Assumptions, limitations and open questions are documented alongside the work.
  • The project owner reviews the work against the brief and returns one consolidated feedback list before approval.

When the scope changes

Record the requested change, its reason and its effect on deliverables, budget and timing. Both parties agree the revised scope in writing before the additional work begins.
